 1. AGREEMENT

By accepting and using a courtesy vehicle provided by Treeton Auto Services (“the Company”), the customer (“the Driver”) agrees to be bound by the following Terms and Conditions in full.

2. ELIGIBILITY

Courtesy vehicles are provided only to customers of Treeton Auto Services.

The Driver must:

  • Hold a full, valid UK driving licence
  • Be aged 21 years or over
  • Provide valid proof of insurance to drive other vehicles (minimum third-party cover acceptable)
  • Provide valid driving licence documentation upon request

The Company reserves the right to refuse release of any vehicle at its sole discretion.

 3. DOCUMENTATION REQUIREMENTS

Prior to release of the vehicle, the Driver must provide:

  • A valid driving licence
  • Proof of insurance to drive other vehicles
  • Any additional identification requested by the Company

The Company may carry out licence verification checks.

4. INSURANCE & LIABILITY

The Driver acknowledges and agrees:

  • They must hold valid insurance to drive other vehicles
  • They must provide proof of such insurance prior to collection
  • They are responsible for any uninsured losses, penalties, fines, or charges incurred during use
  • They may be liable for an insurance excess in the event of damage or accident

 5. PERMITTED USE

The vehicle shall:

  • Be used for personal use only
  • Not be used for hire or reward, taxi, courier, or driving instruction purposes
  • Only be driven by authorised drivers approved by the Company
  • Not be taken outside the United Kingdom without prior written consent

 6. FUEL

  • Fuel level will be recorded at the point of collection
  • The vehicle must be returned with the same fuel level
  • Any discrepancy may result in refuelling and administration charges

7. VEHICLE CONDITION

  • The vehicle must be returned in the same condition as issued
  • The Driver is responsible for any damage occurring during use
  • Any damage, misuse, or missing items will be chargeable

 8. CARE OF VEHICLE

The Driver agrees to:

  • Keep the vehicle secure at all times
  • Lock the vehicle when unattended
  • Not smoke in the vehicle
  • Not allow pets or animals in the vehicle
  • Use the correct fuel only
  • Not carry out or authorise any repairs without written permission

Any breach may result in additional charges.

 9. ACCIDENTS & INCIDENTS

In the event of an accident or incident, the Driver must:

  • Not admit liability
  • Obtain details of all parties and witnesses
  • Contact the police where required
  • Notify the Company immediately

An incident report must be completed upon return of the vehicle.

 10. BREAKDOWN & RECOVERY

All vehicles are covered by breakdown assistance where applicable.

In the event of a breakdown or fault, the Driver must:

  • Stop the vehicle safely
  • Contact the breakdown assistance provider immediately (details are located in the vehicle)
  • Follow all instructions given
  • Inform the Company as soon as possible

Out of Hours (5:30pm – 8:30am)

  • Contact breakdown recovery directly
  • Do not continue driving unless instructed
  • Report to the Company on the next working day

No repairs may be authorised without prior approval unless instructed by the breakdown provider in an emergency.

 11. RETURN OF VEHICLE

  • The vehicle must be returned upon request or when repairs are completed
  • The vehicle must be returned during business hours unless otherwise agreed
  • Failure to return the vehicle when requested may result in additional charges

 12. CHARGES

The Driver agrees to be responsible for:

  • Any damage caused during use
  • Any fines, penalties, tolls, parking charges, or offences incurred
  • Fuel shortages
  • Cleaning or valeting charges where applicable
  • Any breach of these Terms and Conditions

 13. CLEANING POLICY

Additional charges may apply where:

  • The vehicle is returned in an excessively dirty condition
  • Evidence of smoking or animals is found
  • Specialist cleaning is required

 14. DATA PROTECTION

The Company may use the Driver’s information for:

  • Insurance validation
  • Driving licence checks
  • Administrative and legal purposes

In the event of breach, information may be shared with insurers, authorities, or debt recovery agencies where required.

 15. MANDATORY DOCUMENTATION (COLLECTION & RETURN)

Both the Collection Form and Return Form must be completed.

Collection

  • Collection Form must be completed and signed prior to vehicle release
  • Required identification and insurance proof must be provided

Return

  • Return Form must be completed and signed upon vehicle return
  • Any damage or discrepancies must be recorded

Important

  • The vehicle will not be released without completion of the Collection Form
  • The vehicle will not be accepted as returned without completion of the Return Form

 16. ACCEPTANCE

By accepting the courtesy vehicle, the Driver confirms that:

  • They have read and understood these Terms & Conditions
  • They agree to comply with them in full
  • They accept full responsibility for the vehicle during the period of use
